The Position

We are currently looking for diving professionals interested in working with our Training and Membership Services department for International Training Headquarters. The duties of this position cannot be met through remote work, this is an on-site position in Stuart, FL. Candidates must be US residents or already possess a work visa.

The position is full-time.

Duties Include

  • First and foremost, Customer Service which means this is a desk job-Our biggest strength is our  Customer Service and TMS is our first line in that strength.
    • Answering multi-line telephones – talking about diving while being friendly and responsive  to customers’ general questions and training related questions.
      • Careful to make sure you are correctly guiding the customer with a smile no matter  how simple or hard the question may be.
      • Follow up on all customer service issues and concerns.
    • Olark Chats – Same as above with the same care in making sure you are correctly listening to  and answering the question.
    • TMS staff also learns on the job the answers to many questions and how to go about finding  the answers if not known.
      • You are not expected to know everything, but you are expected to get the correct  information to divers, instructors, etc. by any means possible.
    • Ability to interact and cooperate with all company employees – Demonstrate Teamwork.
  • Keeping on top of the daily queues on our website and through various emails as assigned by team  leader:
    • 24-48 hour turn time from in the queue to invoiced.
    • Invoicing in Quickbooks
    • Entering data accurately and efficiently.
    • Printing C-cards.
    • Daily mail-Posting and mailing registrations to divers
  • Entering Orders – Assisting in shipping
    • TMS is support for shipping-pulling and checking orders.
    • Get familiar with inventory items and where they are located.
  • Maneuvering around our database to look things up and assist customers.
    • Making changes if necessary and updating customer information.
  • Familiarity with QB.
    • Invoicing, ordering, adding customers, receiving payments, looking up information.
    • Track past due accounts
  • Filing billing reports and other customer information digitally.

Objectives

  • Making Repeat Customers: 
    • One of the main objectives in customer service is to give International Training customers  the kind of service that makes them want to continue to do business with us. Creating this  type of service can include many things from a great attitude to extensive knowledge of the  company.
  • Product Knowledge:
    • Extensive knowledge of the company’s policies and products. This allows the CSR to quickly  provide quality service and offer solutions if there is a problem.
    • Knowledge of our inventory items and how to look up what is in stock is important when  assisting customers with ordering.
  • Dive Course Knowledge:
    • Being an education company, we are commonly contacted with training related questions.  Having the ability to understand ITI courses and what is taught in each one is a requirement.  We understand the range of courses we offer is vast, so this is not a requirement for the  position as we provide training for these courses. We just want the passion to learn more  about diving.

Responsibilities:

  • Answer customer calls, chats and emails regarding account information, account questions,  requests, and customer issues in a professional, timely and courteous manner. 
  • Take customer orders with accuracy and assist in the shipping department as needed.
  • Follow up on sales opportunities and/or prospects and refer the prospect to the appropriate  department.
  • Process website inquiries/orders in a timely manner.
  • Recommend company products or services to customers by analyzing and accurately understanding  their needs.
  • Must use time/resource self-management skills to make the best use of time and resources.
  • Write/develop written step-by-step procedures for internal systems and processes as requested by  leadership.
  • Participate in regular meetings with various teams as required.
  • Provide timely feedback regarding WEB site performance, task status, and project deadlines.
  • Adheres to all company policies, procedures, and business ethics codes.
  • Present and assist at tradeshows.
  • Maintain files as required.
  • Drop off mail at post office when needed.

  • Quickbooks Accounting Software 
  • MS Internet Explorer, Firefox, Chrome, Safari (All versions)
  • MS Office Suite (Word, Excel, Outlook)
  • Google Products for sharing files and meetings.
  • Trello, Slack

Job Specifications

  • High School Graduate or Equivalent
  • 2-3 years Customer Service experience and appropriate certificates where necessary
  • Experience as a Divemaster, Assistant Instructor, Instructor, or Instructor Trainer.
  • Strong understanding of customer service
  • Bilingual (Spanish speaking) a plus
  • Full time exempt employee
  • May need to lift up to 50 lbs.

Future – nothing promised regarding other positions here in the company:

  • TMS is crucial to the day-to-day operations of the company and position requires a great deal of  training; therefore, it is not intended that someone in this position be considered for transfer to  another department at HQ.  
  • Consideration may be given after 1-3 years in the TMS role-depending on availability of  replacement in that position and need in other departments.
